Who operates Basecamp

826 Basecamp is a private troop planning and operations tool run by volunteer leadership of Reynoldsburg Troop 826. It is intended for approved Scouts, parents or guardians where applicable, and adult leaders.

Information we collect

• Account and roster information: name, approved email address, troop person identifier, profile picture where available, active status, patrol, leadership position, role, and permissions.
• Troop activity: plans, ideas, assignments, event responses, resources, equipment records, saved places, approvals, and other contributions made through the application.
• Sign-in and security information: session information and limited technical records needed to verify sign-ins, prevent abuse, enforce rate limits, and troubleshoot the service.

Basecamp is not designed to collect payment card information, government identification numbers, or health records.

How sign-in works

Google sign-in

When a person chooses Google sign-in, Google confirms the account identity. Basecamp uses the verified identity to match that person to the approved troop roster and apply the correct role and permissions.

Email sign-in codes

When email-code sign-in is available, Basecamp may send a short-lived, one-time code to an approved address. The application stores a secure hash of the code rather than the readable code itself. Security records may include hashed versions of an email address and IP address for rate limiting.

The sending account uses the Google Gmail send permission only to deliver Basecamp sign-in messages. Basecamp does not request permission to read, search, modify, or delete the sender's Gmail messages, and it never asks for a user's email password.

Basecamp's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements.

How information is used

• Provide troop calendars, planning, tasks, responsibilities, resources, equipment, and shared-memory features.
• Match each person to the correct patrol, leadership role, and access level.
• Protect and troubleshoot the service, prevent abuse, and maintain an appropriate activity history.
• Improve Basecamp's usability and reliability for Troop 826.

Basecamp does not sell personal information and does not use troop data for advertising.

When information is shared

Information is available within Basecamp according to troop roles and permissions. Limited information may also be processed by service providers that help provide the application, including Google for identity and connected Google services, and DigitalOcean for hosting and infrastructure. These providers handle data under their respective service terms and security practices.

Troop leadership may disclose information when required by law or when reasonably necessary to protect a person's safety or the security of the service. Information is not otherwise shared with outside organizations for marketing.

Scouts and families

Basecamp is built for troop operations and may include information about youth members. It is not open to the general public. Adult administrators manage the approved roster and access process in accordance with troop practices and applicable Scouting policies. Managed, unique Scout email aliases may be used to avoid using a parent's personal identity for a Scout account.

Parents or guardians may contact the troop to ask about, correct, or request removal of information associated with their child, subject to safety and recordkeeping obligations.

Retention and choices

Basecamp keeps operational information only as long as reasonably needed for troop operations, continuity, security, troubleshooting, and required recordkeeping. Access may be paused or removed when a person is no longer active with the troop.

To ask what account information Basecamp has, request a correction, or request deletion where appropriate, email [email protected]. Some records may need to be retained to protect users, maintain troop records, or meet legal obligations.

Security and changes

Basecamp uses role-based access, protected sessions, limited permissions, and other safeguards appropriate to a private troop application. No online service can guarantee absolute security. Members should protect their email accounts and promptly report unexpected sign-in messages.
